This Data Policy explains how Kavagie Smarttech PVT. LTD. manages data inside ExamsNim, including student records, exam attempts, results, subscriptions, NimAI interactions, support history, logs, and operational records.
1. Data we maintain
- Student identity and contact records.
- Board, class, school, subject, competitive exam, and preparation preferences.
- Exam registrations, attempts, answers, marks, result review, weak-area reports, and saved questions.
- NimAI doubts, prompts, feedback, topic learning signals, and generated study support.
- Payment orders, subscription status, coupon usage, invoice references, and refund records.
- Security logs, device logs, system events, and support communications.
2. Retention principles
We retain data only for as long as reasonably needed for education services, account continuity, result history, subscription records, support, security, compliance, dispute resolution, and legal obligations.
- Account and learning records: retained while the account is active and for a reasonable period after inactivity for recovery and learning continuity.
- Payment and invoice records: retained as required for tax, audit, accounting, and payment-dispute compliance.
- Support records: retained to resolve current issues, maintain service quality, and handle repeated concerns.
- Security and technical logs: retained for platform safety, abuse prevention, and investigation.
- Proctoring or integrity signals, where used: retained only as needed for review, dispute, audit, or policy enforcement.
3. Access controls
Data access is limited to authorised personnel, system roles, and linked institutions where relevant. Important account actions may be logged. Sensitive operational settings and secrets are protected separately from public content.
4. Deletion and correction
Students may request correction or deletion review by contacting support@examsnim.com. We may ask for verification before acting on a request. Deletion may be limited where retention is required for payment, legal, security, exam-integrity, or dispute reasons.
5. Backups and recovery
Backups may temporarily retain deleted or changed information until backup rotation completes. Backup access is restricted and used for recovery, security, and continuity purposes.
6. Data quality
Students should keep profile, board, class, subject, school, exam, and contact information accurate. Incorrect information may affect plan access, subject recommendations, result analysis, support, and NimAI personalisation.
7. Incident response
If we identify a data incident that materially affects users, we will investigate, mitigate, and communicate as required by applicable law and operational impact.
